An event is not about just a day or a celebration; it is about telling what that day symbolizes.
An event planner is the person who is responsible to make sure that the event doesn’t lose its meaning and is turned into a day that people involved would remember.
While discussing what exactly an event planner is responsible to do and what are his duties, we will go with the flow of the event.
1.Understanding the customer- the event needs to be as per the customer’s needs and what they are planning to do. The customer might have an already prepared image in their mind or they even need the event manager to design the event as per there perception.
In such cases the event lanner needs to understand what the customer want and what they want their guest to feel and think about the event.
2.Deciding the theme- A theme is what sets the tone of the event and create the image about the event.
A theme that aligns with the customer’s needs, can set the base for the other decisions that need to be made.
3.Deciding the venue- For an event planner the venue I like a stage where they have to perform their show.
I should be in sync with the theme or at least in a way that gives the manager freedom to explore their creativity.
4.Guest s are the key- The event manager is not responsible to decide the guest list, they can assist with it when asked, but the event manager is responsible to make sure that the guests which are expected to attend the event are taken care of.
Eg. If the guest list have kids then a separate place for kids should be arranged if a the pre decided venue and theme is not kid friendly in nature, a separate smoking area or drinking area or even a providing extra parking space is required.
5.Managing the vendors- For an event as many things are required hence the manager need to be in constant touch and coordination with the vendors.
6.Safely 1st- The event manager need to make sure that the safety of the event and the people involved in it should be managed 1t.
From following the fire code to making secure entry and exits and guards available is the responsibility.
7.Hygiene matter- The event should not only have proper cleanness but should also be provided with clean washrooms and safe and health food items.
8.Music and food- No matter what form of event the customer require, food and/or music are always a part of the event.
They are not only required to set the tone for the event but also need to be placed keeping in mind the guest.
Eg, deciding the menu should have veg or non-veg or both to deciding the genre of music is upto the event manager.
9.Finally the big day- Finally executing the event in the required form whie keeping thing in mind is the biggest responsibilities of them all.
On the last day itself there are many miss happening or unfortunate events, so the manager needs to keep their backup ready as well.
10.Time to pay and get paid- Once the event is done the responsibility of the event manager doesn’t ends there, they do need to make sure that the bills of the vendor are paid and the venue, props and even the rented cars are all sent back.
These are the moments in which small miss happening can disturb the entire budget or even make a successful event heavy on the pocket.
The balance sheets speak and the customer who’d be satisfied with the event as well as the final numbers.
